On-Basic (Pty) Ltd (“On-Basic”, “we”, “us”) provides QuickBooks Online migration, setup, training, bookkeeping, VAT, and payroll services to businesses in Botswana. This policy explains what information we collect, how we use it, and how we protect it.
Information we collect
- Contact & enquiry details you submit through our website (name, business, email, phone, and what you tell us about your needs).
- Accounting data you authorise us to access — including your QuickBooks Online company data (customers, suppliers, invoices, bills, and financial records) — solely to deliver the services you engage us for.
- Service records such as support tickets, migration progress, and billing information.
How we use QuickBooks Online data
When you connect your QuickBooks Online company, we access it only to perform the work you have requested (for example, migration, reconciliation, reporting, or ongoing bookkeeping). We do not sell this data, and we do not use it for advertising. Access can be revoked by you at any time from within QuickBooks or by contacting us.
How we protect your information
- Data is stored on controlled, access-restricted cloud infrastructure (Google Cloud / Firebase).
- Access is limited to authorised On-Basic staff who need it to deliver your services.
- Connections use encryption in transit (TLS 1.2+).
Sharing
We do not share your data with third parties except: (a) service providers that help us operate (e.g. secure hosting and email delivery), under confidentiality obligations; (b) where required by law; or (c) with your consent. We do not transfer your accounting data to third-party AI services without your instruction.
Retention
We keep your information for as long as needed to provide services and to meet legal, tax, and accounting obligations, after which it is deleted or anonymised.
Your rights
You may request access to, correction of, or deletion of your personal information, and you may disconnect QuickBooks access at any time. Contact us to make a request.
